Overview

The Executive Assistant to Desss, Inc CEO provides a range of administrative support services to the CEO and other members of the Senior Leadership team to support efficient delivery of services to our customers. She/he maintains high standards of professionalism, efficiency, personal communication, discretion and independent judgment. In working with internal and external contacts, including board members, she/he deals with a wide range of highly sensitive issues under tight deadlines/pressures. Reports directly to the CEO.

Desired & Profile
  • College degree in business management or related field, or other suitable training in office management and/or administrative studies.
  • A minimum of 5 years supporting C- Level Executives
  • Experience with companies held by private equity investors is a plus.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Strong organizational skills including the ability to manage multiple calendars and effectively maintain electronic records and files.
  • Experience in organizing meetings, preparing and monitoring budgets, expenses, and expense reports, assisting with travel and hotel accommodations, and providing general office operations support.
  • Demonstrated ability to achieve high performance goals in a complex and fast-paced environment.
  • Very strong interpersonal skills and the ability to build and maintain professional, friendly, and cordial relationships with stakeholders, including management, employees, board members, external partners and investors.
  • Highly resourceful team-player with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Expert level written and verbal communications.
  • Proficiency in grammar, spelling and proofreading.
  • Ability to understand and interpret policies and procedures as well as use judgment when policies or procedures are not yet in place.
  • Working knowledge of business software and basic office equipment
  • Strong computer skills including proficiency in Microsoft Office programs; Word, Excel, PowerPoint and Outlook.

Responsibilities
  • Responsible for scheduling and managing the CEO’s calendar including prioritizing and resolving related conflicts and competing demands, proactively scheduling important meetings with internal and external individuals and maintaining sufficient blocks of working time for the CEO.
  • Creates and maintains the Corporate calendar which includes key executive meetings such as board meetings, company all hands, staff meetings, investor meetings, and includes executive travel schedules.
  • Organizes and coordinates domestic travel and related requirements to include: flight tickets, hotel bookings, airport transfers, expense reports.
  • Provides support in arranging executive meetings including coordination of presenters’ presentation materials, slides, notes and/or briefing notes, handling logistics, such as conference registrations, room reservations (internal and external), and local travel.
  • Works closely with the CEO on special projects, and on Investor and Board activities.
  • Prepares first-drafts of presentations and materials for CEO; collects and harmonizes materials from different groups when creating larger presentations.
  • Supports and coordinates board and investor meeting arrangements including agenda setting, teleconferences and video conferences, and note-taking as required.
  • Coordinates, plans, and organizes small-to large-scale meetings on behalf of the executive team.
  • Performs general office duties such as reception of guests and coordination of site visits, handling mail and packages, food ordering and delivery as needed, in coordination with local office manager.
  • Undertakes special assignments/projects on a wide variety of issues as requested by the CEO.
  • Contributes to the excellent reputation of Compeat through professional, friendly and respectful interactions internally and externally.
  • Performs other duties as required and/or assigned including light personal support related to the business day (such as ordering lunch and scheduling some personal appointments)
